Implementing Analytica for a Big Hotel Chain in UK
Our client is one of the largest privately owned group of Luxury hotels in UK. It has a collection of luxury hotels in prime locations in the heart of London, Heathrow and Manchester.
Business Challenge
The client is operating in a fast moving industry where access to accurate and timely information is of prime importance.
The financial information across our client’s group hotels is consolidated and available in one place. However the information is available after the period-end or the IT department has to physically collate the report and mail it to the user. This made the reporting process very person dependent and was prone to delays.
The group also wanted to have a system that could compare information across hotels or across periods or year.
The brief for our team was that our client required a BI solution to be delivered within a very tight frame with the following capabilities:
- Automation of senior management financial reports across the group hotel chain
- Statistical and Graphical representation of reports with Slice/Dice/Drill down functionalities up to the transactional level
- Automatic data refresh for online analysis
- Project completion with minimum involvement from the client in terms of time, effort and investments
Solution
Calsoft’s BI tool “Analytica” addressed these business challenges and was able to provide our client the reports the key users needed. It allowed the month-end financial reports to be dynamically generated on a daily basis helping the management to make quick decisions and allowing them to analyze critical performance indicators across hotels, periods, and year.
The Calsoft team first did a study to understand the immediate and mid term reporting requirements of our client’s key managers. Subsequent to that key reports were imported into Analytica from existing systems enabling the business users and key managers to perform multi-dimensional analysis through a web-enabled interface.
The product also has adequate security built-in to ensure confidentiality and user roles and rights are given as per organizational definitions. Based on these roles each manager was able to view the reports assigned to him.
Analytica benefits for our client
- Analytica could drill down data from the operational level to individual parameter level. Analytica synthesized millions of rows of data and allowed that information to be sliced and diced dynamically according to the user needs in minutes. Analytica also allowed the users a graphical view of the data using its graphical features – Bar charts, Dotted charts etc.
- Senior Management at our client’s various hotels could define and design their own customized reports through a user-friendly interface. Analytica enabled senior management to quickly configure reports resulting in considerable time reduction. Senior management could thus when they needed synthesize large amounts of data and make quick decisions without having to wait for their IT team to cater to their ad-hoc report request. Additionally once a report is entered into Analytica the users can redesign the same report through the user interface dynamically by defining their own filters/fields/columns.
- The product has a scheduler that connects to the database and refreshes the data at specified intervals.
Conclusion
Analytica has been successfully implemented at our client site. The product has found acceptance with the key users and they see benefit in the product as far as their reporting requirements are concerned.
